Once you have identified target schools or initiated contact with coaches, the next step is managing those relationships. The Recruiting Board is a high-powered pipeline that provides a "Flow View" of your entire process.
This dynamic board allows you to visualize progress, track engagement, and update statuses in bulk.
The Recruiting Board utilizes a Kanban-style layout where every stage has its own column. You can dynamically toggle and view your board based on different categories:
By Stage: Track the timeline of outreach (e.g., To be Contacted, Contacted, Connected, In Contact).
By Preference: Categorize schools by priority (e.g., Safety Schools, Target Schools, Reach Schools, Not Interested).
By Status: Monitor the exact standing with the coach (e.g., Pending Feedback, Coach Not Interested, Roster Full, Budget Too Low, Awaiting Response, Interested, Offer).
Visual Email Tracking: Directly below the university name on the board, you will see a visual indicator showing exactly how many emails have been sent to coaches at that university and how many of those have been opened.
Clicking on a university card within the board opens the detailed Athlete Status Report. This is your command center for managing the specifics of a single school for an athlete. From here, you can adjust the Stage, Preference, and Status, as well as track:
Financials: Log the exact amounts for Academic Scholarships, Athletic Scholarships, Financial Aid, and the Budget Needed.
Admissions Tracker: Keep the academic timeline organized by logging the dates the athlete Applied, was Admitted, or Accepted the Offer.
Additional Info Tags: Add an "Additional Info" field to act as a custom tag (e.g., tagging specific regional tournaments).
Collaborative Notes: Keep internal notes private to your organization. Athletes will never see your Staff Comments, but you can view the Athlete Comments they log to update you on coach conversations.
Managing a large roster's outreach is highly efficient with robust filtering and bulk updates:
Advanced Filtering: You can filter the board using all the standard university database filters, plus filter by Stage, Preference, Status, and your custom Additional Info tags. (Use Case: You can easily filter for all DI schools in a specific region where an athlete is competing this weekend to send a targeted follow-up).
Global Select All: You can select all universities across your entire filtered database—not just page by page—for instant bulk updates.
Column Mass Actions: Change statuses, remove entries, or send bulk emails to all selected coaches for an entire column at once.
You can access a 360-degree view of your organization's history with any school by checking its Recent Activity. Filterable by sport and starting date, this view shows you:
Which athletes are currently on the board for this school.
A full log of emails sent to that specific university.
Success tracking to see which alumni have committed or signed there in the past.
While the board is a powerful CRM for your staff, it also serves as an invaluable research hub for your athletes. However, an athlete's ability to actively interact with the Recruiting Board depends entirely on the permissions you configure for them:
Add to Recruiting Board: Allows the athlete to search the database and independently add schools to their board.
Manage Recruiting Board: Grants the athlete permission to move schools between different statuses or remove them from their board entirely.
For each university on their board, athletes have access to a wealth of information to help them evaluate opportunities and make informed decisions, including:
Direct links to the university's official website and the athletics department page.
Details about the athletic staff and admissions criteria.
Information about academic programs, majors, and tuition costs.
A short video of the campus, providing a visual sense of the environment they might expect if they commit.
