When your organization's team changes, College Pipe makes it easy to manage your user seats and ensure a seamless transition of athletes and data. Whether you are managing a Director, Manager, Recruiting Expert, Scout, or Support Staff member, you have complete control over their credentials and active status.
When a staff member leaves and a new one takes over their responsibilities, you can easily update the existing account. This method allows the new staff member to immediately take over the management of the athletes assigned to the previous expert.
Steps to replace a staff member:
From your main dashboard, navigate to the Recruiting Expert (or staff) section.
Locate the staff member you wish to replace in the list and click on their name to open their profile details.
Update the necessary credentials and preferences for the new staff member:
Email Address: Change the email to the new staff member's email address, which will serve as their new login username.
Password: Assign a new password for the account.
SSO Preferences: Determine whether they should use Single Sign-On (SSO) with Google or Microsoft to access the platform.
Profile Image: If a photo of the previous staff member exists, you can clear the profile image.
Click Save to confirm your changes.
Important Note:
By updating the account instead of creating a new one, the new staff member will retain full access to all the athletes, conversation histories, and data that were managed by the previous staff member. This ensures perfect continuity in your recruiting workflow.
If a staff member leaves and you do not plan to replace them immediately, you can simply delete their account.
Data Retention: When you delete a staff member, they remain visible in the system and are technically "deactivated." This ensures that historical data, notes, and past actions associated with that user are preserved.
Billing Impact: Deactivated staff members will no longer count towards the active number of staff seats you are paying for in your software package.
For your active team members, you maintain administrative control over their login methods. At any time, you can edit a staff member's profile to:
Change their email address, which immediately updates their login username.
Assign a new password if they need their credentials reset.
Toggle SSO requirements, defining whether they should authenticate securely via Google or Microsoft instead of using a standard password.
